Tips and Tricks

Copywriting/Editing
  • When submitting copy, putting notes for the designers in brackets can be helpful.

Design
  • Be careful when searching Google for images: You must have permission to use them. Instead, use them for reference only. The design team will find a similar image that's available for purchase.

Digital
  • Not sure which template to chose? Add a note explaining what visuals you are thinking of and we can choose one for you.

 
Marketing Automation
  • Once an email is sent, nothing can be changed (copy, images, subject line). Carefully review every detail of the inMotion proof to ensure that it is correct before the email is sent. To send a followup email with new copy, images, or subject line, submit a new project and mark it "Resend."

  • If you have a problem with a HubSpot landing page or zoll.com web page, please provide the link to the page. This helps us find it in either HubSpot or Sitecore more easily and quickly.
 
Project Management
  • Source codes are important because they help HubSpot talk to Salesforce. Without a source code, you won’t be able to find the ROI of your marketing campaigns.

  • In inMotion, click the icons in the upper-right corner (above the comments section) of your proof to check the status of your project and to see who else is reviewing it. 

  • To download a PDF from an inMotion review, click the hamburger menu in the top-left corner and select "Download".
  • Submitting a project in inMotion? If you are attaching a PDF of a previous project for reference, make sure the name of the file hasn't changed. This helps the designers search for the original files to repurpose.
  • When repurposing an existing project, use comments on the PDF to indicate your changes. 
  • If your job says "Started in the My Job Launch screen", you haven't submitted the job yet and only you can see it. Finish the job request and click "Submit". The circle color will change from yellow to green when the job has been successfully submitted.
  • inMotion includes multiple status options for Job Launches and for Project Status.
 
Translations
  • An "approved" job quote for a translation project must be confirmed by email. Without it, your project cannot be launched. The sooner a job quote is approved, the sooner it can get started.
  • Before you submit a translation project into inMotion, confirm that all reviewers want the suggested translation and that they will review it in inMotion within a 2–3 week timeframe. Prior buy-in from the in-country reviewer will help your projects move through the review process more quickly.
 
Trade Shows and Events
  • When putting a project into inMotion for a trade show, always submit dimensions or renderings. Information can be supplied by the company you are purchasing from. This will save time and help the designers.
